1. Utilization of contracts 

The client (spend more than €1 billion) does not have sufficient insight into the relationship between the budgets per department, the contracted value and the actual utilization of contracts. This concerns the IT-spend of > €250 million.

Qando created a list of all stakeholders, retrieved all necessary data and structured this into a format. Finally, a methodology including dashboard has been developed and implemented.

Results
  • Cost savings of 9% realized;
  • Keen on contract terms, both commercial and substantive;
  • Contracting and budgeting in a more realistic way;
  • Working capital no longer stuck in "inflated" budgets.

2. From EU-tender to a well-managed contract

Qando led the European tender for this client in the public sector and set up the contract management for the delivery and maintenance contract, concerning a period of 10 years. The focus was on development speed and quality since quality issues are directly affecting the daily operation.

Qando has set up a tender team for all stakeholders and created together with them clear KPI's for this specific contract. All obligations from the contract have been carefully mapped and Qando took care of the monitoring and made adjustements if necessary.

Results

  • The multi-million project has been delivered within time and budget;

3. Improved procurement software

The contract management system at the client was only partially implemented by the supplier. The content and workability were not optimal at all.

Qando conducted an analysis of the contract management method requirements and subsequently modified the contract management platform to fit business needs. Also, Qando worked hands-on on uploading all non-digital contracts to the system.

Results

  • A well-functioning and adopted contract management system for all users;
  • 99% of all contracts (more than 1700) have been submitted for a complete digital overview;
  • The system is now used across the entire company by the contract managers and the procurement community.
